MAA PRIVACY NOTICE

This privacy notice for personal data (“Privacy Notice”) is issued to all participants and guests of Malaysia Aikido Association (“MAA” “us”, “we”, “our” or “ours”) for its 30th Anniversary Celebrations (“Seminar”). This Privacy Notice is formulated in accordance with the Personal Data Protection Act 2010 (“Act”). For the purpose of this Privacy Notice, “Personal Data” shall have the meaning as ascribed to it in the Act.

Please note that MAA may amend this Privacy Notice at any time without prior notice and will publish the amended or revised Privacy Notice on our website.

A. INFORMATION COLLECTED

The Personal Data which we may collect for the Seminar via print and digital platforms allows us to facilitate your attendance, to assist with emergency safety procedures and for other purposes listed in (B) below. We only collect Personal Data about you that we consider reasonably necessary to achieve these purposes.

B. PURPOSE OF COLLECTION, USE AND DISCLOSURE OF PERSONAL DATA

1. Generally, we collect Personal Data voluntarily provided by you when you visit our website and/or complete or update your registration (on our selected third party platform or physical means) or communicate with us. We use and disclose your Personal Data for the following purposes:
a) to facilitate your registration for the Seminar including ;
b) to administer and communicate with you in relation to the Seminar;
c) to third party providers to the extent for seminar administration (including but not limited ticketing platform providers);
d) to process any payment related to the Seminar;
e) to communicate with your listed emergency contact if there are medical emergencies during the Seminar;
f) to our professional advisers such as auditors, financial advisers and lawyers;
g) to relevant government regulators, statutory boards or authorities or law enforcement agencies to comply with any laws, rules, guidelines and regulations imposed by any governmental authority; and
h) to any other party to whom you specifically authorise us to disclose your Personal Data.

2. We may contact you for the purpose as set out in B.1. above either via your listed telephone number, emails, short message services, social media, or by whatsoever form of available communication.

C. PHOTOGRAPHY

We may take photographs or video recordings at the Seminar for to share event details, publicity and promotional purposes . Where we do so, we may capture your image or likeness as part of the wider crowd of attendees at the event. If you are a registered attendee of the Seminar, please refer to the Waiver of Liability, Indemnity Agreement and Photo Release terms that you have agreed to.

D. PROCESSING OF CHILDREN DATA

1. We consider a child to be anyone under the age of 18. We do not knowingly seek or collect Personal Data from or about children without the consent of a parent or guardian.

2. If we become aware that Personal Data that has been submitted to us relates to a child without the consent of a parent or guardian, we will use reasonable efforts delete that Personal Data as soon as possible. Where deletion is not possible, we will use reasonable efforts that the Personal Data is not used further for any purpose, nor disclosed further to any third party.

E. PERSONAL DATA GIVEN BY YOU

You hereby confirm that you have obtained the consent from the persons whose Personal Data you are providing to us for the purposes, use and disclosure as set out in (B) above. You are responsible for providing accurate, complete and updated Personal Data about yourself and/or any other person whose Personal Data you provide to us. As such, as and when such Personal Data becomes inaccurate, incomplete or outdated, you should correct or update such Personal Data by contacting us or submitting latest Personal Data to us in writing.

F. IMPACT OF NON-PROVISION OF PERSONAL DATA

In the event that the Personal Data supplied is insufficient or is not satisfactory to facilitate your registration for the Seminar, then your registration will not be accepted or acted upon.

G. RETENTION OF PERSONAL DATA

We will only retain your Personal Data for as long as is reasonably necessary for the various purposes set out in this Privacy Policy or to otherwise comply with any applicable laws and regulations concerning the mandatory retention of certain types of information.

H. SECURITY MEASURES

Unfortunately, no data transmission over the Internet can be guaranteed as completely secure. So MAA cannot ensure or warrant the security of any Personal Data transmitted to the MAA and you do so at your own risk. Once any Personal Data comes into the MAA’s possession, MAA will take reasonable steps to protect that information from misuse and from unauthorised access, modification or disclosure.

I. RIGHTS OF ACCESS TO PERSONAL DATA

1. You have the right to request for access to, request for a copy of, request to update or correct your personal data held by us, subject to any applicable legal restrictions and contractual conditions.

2. You have the right at any time to request us to limit the processing and use of your personal data for the purposes set out in (B) above. However, depending on the nature of your request, the impact set out in (F) above may be applicable. If you are already participant of the Seminar or attending the Seminar, we may not be able to allow you to continue your attendance. Refunds will not be provided.

3. If you wish to request access to your Personal Data, correction of your Personal Data or to withdraw consent, please submit your request in writing to maa.aikido@gmail.com. We reserve the right to refuse your requests for any reasons permitted under law.
